Changes to Room Scheduling

As previously announced, the university is moving from EMS to 25Live to manage room and event scheduling. This change will bring with it changes to some workflows and processes to improve the user experience.

Important Changes
  • CustomizabilityUsers will be able to customize their homepage dashboard to include rooms that they book frequently, searches that are used often, and upcoming events for easy access directly from the homepage on login.
  • Transparent business processes - Users will be able to review the audit trail for their event to see who approved each step or which step is awaiting approval from what team.
  • Fewer approval stepsAfter submitting an event, it will be reviewed by the Conference and Events team. Once approved, the event will be finalized, ensuring no further modifications can be made and the appropriate resources are reserved for the event.
  • CateringCatering requests will be submitted in a separate system, CaterTrax. This will allow for a better catering reservation experience for both end users and our partners at Aramark. Menus will be more current, options will be grouped together to make selections quicker, and catering will be able to provide better tracking on availability.

We are creating a knowledge base with articles that walkthrough all the changes to business processes and workflows as part of the transition to 25Live. The link to the knowledge base will be made available in the near future.
